Competition Rules

About the Competition
The promoter ("the Promoter") is The Trafalgar Way, which is an initiative of the 1805 Club, a charity registered in England and Wales (no 1071871) and which is operated on behalf of The 1805 Club by Albert Bycroft Ltd (company no 1178243 registered at 252 High Street, Aldershot GU12 4LP).
 
Completing and submitting the entry form online together with checking the ‘I Agree’ tick box indicates the acceptance of these terms and conditions by you (“you”/”the Entrant”). In the case of an entrant under 17 years, parental consent is required to enter and the parent or carer giving consent is also, by supplying their name and email contact details, agreeing to these terms and conditions of entry.

Who can enter?
The Postcards from the Trafalgar Way Competition (2020) (“the Competition”) is open to participants who are residents of the United Kingdom. The Promoter, its agents or suppliers, Council members of The 1805 Club and immediate family members of the aforementioned are excluded from entry to the Competition. 
 
Entrants should be in one of the following age categories on the date of the Competition deadline on the 1st September 2020:
•Age 7-11
•Age 12-16
•Age 17 and above
 
The Promoter reserves the right to verify the eligibility of entrants.

What is required?
This is an art and photography competition. Entrants are invited to pick a scene or feature which would make a good postcard image on, near, or depicting The Trafalgar Way, and to portray it in either a photograph or a two dimensional artwork. Entrants can find out where The Trafalgar Way route runs on The Trafalgar Way website (https://www.thetrafalgarway.org/the-trafalgar-way-map).
 
Further detailed guidance on what is required is provided on The Trafalgar Way website and entrants are urged to read this information before entering.

How to enter
Entrants must register on the Competition website at https://thetrafalgarway.awardsplatform.com/ ("Competition website") in order to submit an entry. They may submit as many photographs or artworks as they like as long as they pay the required entry fee for each submitted work, complete all required details and agree to these Terms and Conditions.
 
All entries are to be made as digital files and uploaded to the Competition website as a pdf, .jpg or .png. For physical pieces, entrants will be required to take a good-quality photograph of their artwork and submit that. Entries are not to be physically posted, unless the Promoter requests it in writing. If an entry is shortlisted for the final judging round, the Promoter may ask for the original to be posted to them at that time. Entrants should keep the work safe as the Promoter may require the original if the entry is a winner, for the purposes of exhibiting and making a professional-standard photographic copy for exhibition, publication or other commercial use.
 
Amendments to entries and entry details may be made on the Competition submission website up to the Competition deadline of midnight on 1st September 2020.
 
Entry Fees
To encourage a good standard of entry, and to help raise money to support The Trafalgar Way for future generations, the following entry fees apply:
  • Age 7 to 11 - £1 per entry
  • Age 12 to 16 - £2 per entry
  • Age 17 to adult - £5 per entry
Multiple entries are permitted.
 
Entry fees are non-refundable.
 
All proceeds from entry fees go directly (via Paypal) in full to the 1805 Club, a charity registered in England and Wales (no 171871), for the ongoing management and promotion of The Trafalgar Way.
 
School entries
Teachers and school staff may submit entries on behalf of pupils in both Photography and Art disciplines using special categories 'Schools 7 to 11 ART' or 'Schools 7 to 11 PHOTOGRAPHY'. The child’s name may be used as the title for the entry, or the teacher/registered entrant must otherwise keep a detailed record of which entry belongs to which child.
 
There is no limit on number of entries per staff member, however the same entry fee per entry applies: £1 each for children aged 7 to 11 on 1st September 2020.
 
The same conditions apply for school entries as for individual age 7 to 11 entries, however parental consent to entry will not be requested until the shortlist has been selected for this category. Parental consent will then be required so that the winning child and their school can be named. It is up to the staff member submitting the entries to confirm that each pupil and their entry is eligible according to the category criteria. Work must be the pupil's own: the submitter is responsible for confirming the work does not incorporate any copyright infringements.
 
For the ART category, schools must keep all physical copies of artwork safe and intact in case of selection. The Promoter may require an entry to be posted to them if a piece is selected for the final shortlist.

Deadline
The deadline for entries is midnight on 1st September 2020. This date is final and there will be no extensions provided. The system will automatically prevent entry submission after the deadline.
 
The Trafalgar Way is not responsible for late, lost or delayed entries.
 
It is not possible to confirm receipt of entries by phone or email. Entries will be automatically confirmed by email.

Judging
The judges' decision will be final and binding in all matters and no correspondence will be entered into.
 
Judges are unable to comment on individual entries.

Judging is fair and unbiased. Experienced artists and photographers will assist the Promoter in selecting the shortlists. All entries will be judged anonymously: that is, each entry will be allocated a unique and anonymous identifier prior to shortlisting; the entrant’s name and location will not be revealed during the selection and final judging process, with the exception of location-specific categories where the entrant’s home county is material to eligibility and will be part of the selection process. The judges’ decision will be final and binding in all matters and no correspondence will be entered into.

Notification of Winners
The winning entrants will be notified via email, using the contact information provided on the entry form, by 29th September 2020 at the latest. If the Promoter is unable to contact any winner, or if any prize is not claimed within 10 days of being notified, the winner will be deemed to have forfeited their prize. In such instances, the Promoter will choose a new winner for that prize.
 
The winners’ names will be displayed on The Trafalgar Way website by 10th October 2020 at the latest.

Cancellation
The Promoter reserves the right to cancel the Competition at any stage if it considers such action necessary, or for reasons beyond the Promoter’s reasonable control, and the Promoter will have no liability to the entrants in respect of any such cancellation.
 
Copyright
The creator will retain the copyright in their image. Prizewinners of the competition will be required to grant to the Promoter a free, irrevocable, perpetual and global non-commercial licence to exhibit and to reproduce their winning image(s) for the purposes of promoting The Trafalgar Way and the 1805 Club. This includes use of the image(s) in an exhibition of winning entries, and digitally on websites, in social media and for press releases. It also includes reproduction of the image onto prize materials by our sponsors Francis Frith. Acceptance of these terms and conditions at the point of entry submission signifies the entrant’s agreement to grant the above licence.

The Promoter will make full efforts in all cases to provide full attribution to the entrant as the creator of the published photograph or artwork, whenever and wherever it is used.

Commercial Use
The Promoter may wish to repurpose winning images or other outstanding entries in order to continue to raise funds for the charity via the production of commercially available merchandise for sale on its website or at retail outlets along The Trafalgar Way route. Entrants should be aware that they may be asked to grant a licence to The Trafalgar Way and/or The 1805 Club to include commercial use of entry images under separate terms which are to be agreed after the conclusion of the Competition.
 
 
Prizes
The following prizes will be awarded:
 
Art and Photography categories (age 7 to 11)
  • 1st Prize - 2 x £250, three tickets to a special awards ceremony and concert in London including travel and accommodation where appropriate and a Treasure Trails voucher worth £9.99
  • 2nd Prize - 2 x £25, plus a jigsaw, mug and tea-towel bearing your design from Francis Frith, and a Treasure Trails voucher worth £9.99
  • 3rd Prize - 2 x £10, a tea-towel bearing your design from Francis Frith, and a Treasure Trails voucher worth £9.99
 
Schools Prize (age 7 to 11)
One single school entry will be selected over all from the best schools' submissions for ART and PHOTOGRAPHY. They will win the following for the class of the winning entrant in this category:
• £250 and a Treasure Trails voucher worth £9.99 for the winning child (unless they have already been awarded first prize in an Age 7 to 11 individual category)
• A Wooden World day workshop for the winning class.
• A framed copy of the winning entry, a Trafalgar Way certificate and a framed storymap poster depicting The Trafalgar Way Story in colour
• A complete Key Stage 2 Geography maps pack from Francis Frith (normally £99).
 
The runner-up school will be awarded:
• £25 and a Treasure Trails voucher worth £9.99 for the winning child (unless they have already been awarded a prize in an Age 7 to 11 individual category)
• A framed copy of the winning entry, a Trafalgar Way certificate and a framed storymap poster depicting The Trafalgar Way Story in colour
• A complete Key Stage 2 Geography maps pack from Francis Frith (normally £99).
 
Art and Photography categories (age 12 to 16)
  • 1st Prize - 2 x £500, three tickets to a special awards ceremony and concert in London including travel and accommodation where appropriate and a Treasure Trails voucher worth £9.99
  • 2nd Prize - 2 x £25, plus a jigsaw, mug and tea-towel bearing your design from Francis Frith, and a Treasure Trails voucher worth £9.99
  • 3rd Prize - 2 x £10, a tea-towel bearing your design from Francis Frith, and a Treasure Trails voucher worth £9.99
 
Art and Photography categories (age 17 to adult)
  • 1st Prize - 2 x £1000, three tickets to a special awards ceremony and concert in London including travel and accommodation where appropriate and a Treasure Trails voucher worth £9.99
  • 2nd Prize - 2 x £25, plus a jigsaw, mug and tea-towel bearing your design from Francis Frith, and a Treasure Trails voucher worth £9.99
  • 3rd Prize - 2 x £10, a tea-towel bearing your design from Francis Frith, and a Treasure Trails voucher worth £9.99
 
The Peter Warwick Memorial Trophy
This prize will be awarded to a single entrant in any age category who is a current or past serving member of the Royal Navy or Royal Marines, including the Fleet Air Arm and Royal Fleet Auxiliary, Royal Naval or Royal Marine Reserve, a member of a Royal Naval Association, or a Sea Cadet, Marine Cadet or Sea Scout. The awardee will not have won a prize for the same piece of work in another category but may have been recognised for a different entry.
Prizes:
• A trophy
• £1000
• Three tickets to a special awards ceremony and concert in London including travel and accommodation where appropriate.
 
The John Richards Lapenotiere Trophy
This prize will be awarded to a single entrant who is resident in one of the 8 counties of The Trafalgar Way at the time of entry, who, in the judges' opinion, most aptly captures the essence of The Trafalgar Way in a postcard image. Residents of Cornwall, Devon, Dorset, Wiltshire, Hampshire, Surrey, Berkshire and Greater London are eligible for this extra award.
Prizes:
• A trophy
• £500 (the same reward Lt Lapenotiere received for delivering the dispatches safely)
• Three tickets to a special awards ceremony and concert in London including travel and accommodation where appropriate.
 
Regional prizes
In addition to the above, a further category of winning entries will recognise the sixteen best 'Postcards of the Trafalgar Way' submitted
a) by a resident of each of the 8 counties of The Trafalgar Way, or
b) clearly depicting a location along the Trafalgar Way, one for each county.
 
Each regional winner will be awarded with a mug and tea-towel bearing their winning entry design.
 
There will furthermore be recognition for HIGHLY COMMENDED entries as identified by the judges.
 
All winning and highly commended entries will be considered for use in the special memorial concert on 22nd October 2020 at Cadogan Hall in London. They will also be considered for a touring exhibition of Postcards from The Trafalgar Way to take place from Cornwall to London during 2021. 
 
Where travel to London forms part of a prize, accommodation will only be offered if the winning entrant and their guests live too far away to reasonably travel home after the concert.

The Promoter will not be responsible for travel costs for guests who are not travelling with the winning entrant.

Any extra activities and costs beyond the specified prize will be the responsibility of the winner.
 
The winner is responsible for:
• Paying all incidental costs other than those specifically covered in the prize (eg additional or alternative accommodation, refreshments and subsistence).
• Arranging appropriate travel insurance
• All travel is undertaken at the own risk of the winner and his/her nominated participants in the trip.

Arrangements and funds for travel and accommodation for winners and their guests are at the Promoter's discretion and the Promoter's decision on these will be final.
 
The Promoter shall be entitled to terminate or modify the promotion and prizes offered or to modify these rules at any time prior to the closing date by publishing any such modification or termination on The Trafalgar Way website and/or the Award Force website.
 
In the event of a dispute, the decision of the Promoter shall be final and binding, and no correspondence will be entered into.
 
Privacy notice
The Promoter and its service providers will use your personal information for the purposes of administering this competition, informing you if you have won and if so, issuing your prize(s). The names of the winners will be posted on The Trafalgar Way website and will be included in press/marketing material, including social media. Your data will not be passed to any other third parties. Your personal information will be properly safeguarded and processed in accordance with current UK data protection legislation. If you have consented to receive ongoing news and updates from The Trafalgar Way at the time of entry submission your contact details will be added to our marketing database. You may update your details and unsubscribe from this database at any time.
 
 
The Competition and these terms and conditions shall be governed by and construed according to English Law.
